Terms & Conditions

The agreement between your institution, the people who use WeClassroom on its behalf, and us.

Last updated: April 2026

These Terms govern your use of the WeClassroom platform — a live virtual classroom service operated by Virtual Data IT. By signing in, joining a session, or otherwise using WeClassroom, you agree to these Terms. If you do not agree, please do not use the service.

1. Who these Terms apply to

These Terms apply to every person who interacts with WeClassroom, regardless of role:

  • Institutions — schools, universities, institutes, training centers — that purchase a WeClassroom license.
  • Teachers, instructors, and staff invited to teach or facilitate sessions through an institution's account.
  • Students who join a live session via QR code or PIN.
  • Visitors browsing our marketing pages or contacting us through the site.

2. Accounts and access

You are responsible for keeping your sign-in credentials private. Do not share your account with anyone else. Each person joining a session must use their own sign-in path; the role you join with (teacher, student, classroom screen) determines what you can see and do.

  • Institutions are responsible for managing their own teacher and student rosters.
  • We may suspend any account that is shared between people, used to impersonate someone else, or used in a way that materially degrades the experience for others.
  • If you lose access to your credentials, contact our support team — we cannot recover passwords through any other channel.

3. Acceptable use during a live session

WeClassroom is a live, real-time platform. The whiteboard, chat, raise-hand, and activities are visible to everyone in the room. Treat a session as you would a physical classroom.

  • Do not record audio, video, or screen captures of a session without the consent of every participant present, in line with the laws of your jurisdiction.
  • Do not post content that is illegal, harmful, defamatory, or that infringes on someone else's rights.
  • Do not attempt to scrape, reverse-engineer, decompile, or otherwise probe the service for vulnerabilities outside an authorized security program.
  • Do not use WeClassroom to send unsolicited communications or to interfere with another classroom's session.

4. AI features and the public/private boundary

WeClassroom offers two AI surfaces with very different visibility models. Understand the difference before using them with sensitive content.

  • AI Public is shared with the whole class only when the teacher explicitly pushes content to the board. Until that moment, the response is invisible to students.
  • AI Private is shown only on the teacher's own device. It is not transmitted to the whiteboard server, never appears on the classroom screen, and is not visible to students or to other teachers.
  • Do not paste sensitive personal data, exam material, or confidential information into either AI surface unless you are confident in your institution's data-handling policy.

5. Content created during a session

Drawings on the whiteboard, chat messages, raised-hand events, and submitted answers belong to the institution and the users who created them. We make no claim of ownership over your educational content. We process this content solely to provide the real-time collaboration features described in our marketing pages.

6. Our intellectual property

The WeClassroom platform — the source code, the user interface, the underlying systems, the brand, the documentation — is the exclusive property of Virtual Data IT. Nothing in these Terms grants you a license to copy, modify, redistribute, or create derivative works of the platform itself.

7. Service availability and changes

We aim for high availability but do not guarantee uninterrupted service. We may take parts of the platform offline for maintenance, updates, or security work, and we may release new features or change existing ones at any time. We will give reasonable notice for material changes that affect how you use the service.

8. Privacy

We collect only the data we need to operate the service:

  • Account information you provide when signing in (name, email, role, institution).
  • Session metadata such as which sessions you joined, when, and from what role.
  • Content you create during a session — drawings, chat messages, activity answers — for the purpose of synchronizing it across participants in real time.
  • Basic technical telemetry needed to keep the service stable and secure.

9. What we do not do

We do not sell your data. We do not use your educational content to train AI models. AI Private content is stored locally on the teacher's device and is never transmitted to our servers. We do not share your data with third parties except where strictly necessary to deliver the service or required by law.

10. Pricing and changes to plans

Pricing is shown transparently on our Pricing page. Prices include all applicable fees unless stated otherwise. We may adjust pricing for new sign-ups or for the next billing period of an existing subscription, with reasonable advance notice for institutions on a paid plan. Promotional offers may have additional conditions stated at the point of purchase.

11. Limitation of liability

WeClassroom is provided on an "as is" and "as available" basis. To the fullest extent permitted by law, Virtual Data IT is not liable for indirect, incidental, or consequential damages, including loss of teaching time, loss of data not caused by our gross negligence, or issues arising from third-party services such as your network, browser, or operating system.

12. Termination

An institution may end its subscription per the Refund & Cancellation Policy. We may suspend or terminate an account that materially breaches these Terms, with notice where reasonably possible. Termination ends your right to access the service but does not affect rights or obligations that have already accrued.

13. Changes to these Terms

We may update these Terms from time to time. Material changes will be announced inside the product or by email to the institution's primary contact. Continued use of the service after a change takes effect constitutes acceptance of the updated Terms.

14. Governing law

These Terms are governed by the laws of the Hashemite Kingdom of Jordan. Any dispute arising out of or in connection with these Terms is subject to the exclusive jurisdiction of the competent courts of Amman.
